We respect your privacy and do our best to protect your data. Below you will find the data we collect and for what purposes we use it. You can also see your rights, who has access to your data, and how long it is retained.

DATA COLLECTED BY LASER MAGIC ABOUT YOU

If you purchase a product, subscribe to our newsletter, log in to our services, contact us (whether through social media or not), participate in an online survey, or interact with Laser Magic in any other way, we may collect various data, including:

  • Your contact information such as your name, address, phone number, and email address, or any other data, such as the name of your company, its address, and VAT number.
  • Your account data, such as your email address and account status.
  • Your payment data, such as your billing address and payment method.
  • Your transaction data regarding the purchase of products and services from Laser Magic.
  • Other data you provide to us, such as the content of communications with Laser Magic, contacts with our customer service, and on social media.

PHONE CONTACT

If your phone number is in our customer database, our employees can automatically see your customer data. This allows us to serve you more quickly and efficiently. During a conversation, we may add notes to your personal data in our database. This way, we can provide better follow-up to these conversations. We do not record our phone conversations.

NEWSLETTERS AND EMAILS

We send you various types of emails, such as those following a purchase you have made or in response to a question you have asked us.

Furthermore, we also send you general emails (which we call "newsletters"), but only when you have subscribed to them (known as "opt-in"). When you subscribe to one of our newsletters, we only save the data we need to identify you. If you no longer wish to receive one of our newsletters, you can unsubscribe online.

WHAT IS THE "LEGAL BASIS" FOR USING YOUR DATA?

According to data protection legislation, we must indicate the "legal basis" on which we use your data. We need your data because of the contractual agreements between you and Laser Magic, such as the purchase of a product or service.

Think, for example, of:

  • Creating a quote.
  • Confirming an order.
  • Contractually required information about the service.
  • We may also use your data in a "legitimate interest." This means that we want to offer all our customers as optimal and personal service as possible. This applies, among other things, to surveys, contact with our customer service, visits to our site, newsletters and emails, personal advice, and social media.

It may also be a legal obligation for us to use your data, especially when we suspect fraud.

WHO HAS ACCESS TO YOUR DATA?

Within our company, everyone has access to your information to some extent. Our employees do everything in their power to respect your privacy.

In some cases, we also share your data with other parties:

  • Partners: when you buy a product from us, your data is shared with our partners.
  • Subcontractors: when we want to send you mail (e.g., a magazine), we regularly use a processing company.
  • Data management platforms, advertising and media agencies, and research offices: occasionally, we engage external companies to help us. If necessary, we provide them with access to the statistics of our site(s) and our social media accounts.

However, the following always applies: the parties to whom we grant access to your data can only use it to provide you with a service on behalf of Laser Magic. Your data is never sold to third parties.

WHERE DO WE STORE YOUR DATA?

Your data may be stored in one of the following locations:

  • Paper archives. Financial transaction records (such as invoices) are not only stored digitally but also on paper. We keep them for at least 10 years. These archives are securely stored, under lock and key.
  • Temporary paper prints. Sometimes it is simply easier to have a paper copy. If this document contains personal data, it is destroyed using a shredder after use.
  • Digital support. We store your data in databases with strict security measures. Therefore, your data is almost always stored within the European Union. In the exceptional case that customer data is transferred to countries outside the European Union, we ensure the adequate protection of your privacy. For several countries, this is officially established. Some American parties have joined the Privacy Shield, which offers sufficient protection. Or we work with official standard contracts, specifically drawn up to ensure compliance with your privacy.

HOW LONG DO WE STORE YOUR DATA?

The duration for which we retain your data depends on the relationship we have with you.

  • If you purchase a product or service: We do not delete your data from our database. We do this for security reasons.
  • If you request information: If you have not yet made a purchase from us and request information about our products or services, we will record your data in our customer database. After ten years of inactivity, we delete your data.
  • If you subscribe to a newsletter: You can manage this subscription online. We keep a copy of this registration in our customer database.
  • If you apply: We delete data related to your application a maximum of 1 month after the end of the recruitment process. In some cases, we deviate from this practice, especially if we want to contact you later for new job offers. However, we only do this with your consent. If you are hired, we attach your application data to your contract.

The tax authorities require us to retain your billing, payment, and order data for 10 years. After that, we only use anonymous data for internal reporting.

WHAT ARE YOUR RIGHTS?

You remain in control of your data. Do you want to access your personal data for free or receive a copy? Do you want to modify your data, delete it, limit its use, or adjust your email preferences? No problem. Let us know by mail or email. This way, you can also object to the use of your data for commercial purposes or indicate that your privacy is more important to you than our interest. In that case, we will reevaluate the situation.

We want to make sure it's really you. That's why we may ask you for additional information to determine your identity. This can happen in case of unclear requests.

WHO IS RESPONSIBLE FOR YOUR DATA?

The data controller for your personal data is Laser Magic, a Belgian company with a fixed establishment in Belgium. All our employees, regardless of the country they are in, do their utmost to comply with European and local legislation regarding the protection of your privacy.

Online Booking Policy

Any reservation at lasermagic.be is considered firm and final upon receipt of a confirmation email. We ask you to make a deposit to secure your time slot. Please note that non-payment of the deposit does not constitute a cancellation of your reservation.

Booking Cancellation Policy

We understand that unforeseen circumstances can occur. If you are unable to attend your reservation, it will still be considered due, as we have reserved a time slot specifically for your team, preventing us from hosting other players. In cases of force majeure, if you need to cancel your reservation, please inform us by email at info@lasermagic.be at least 72 hours before the scheduled date of your reservation. Last-minute cancellations, as well as cancellations by phone, are not accepted. This policy helps us to efficiently manage our schedule and provide a quality experience to all our clients.

Booking Cancellation Policy - Teambuilding

Cancellation Notification: Any cancellation must be communicated in writing to our team at info@lasermagic.be.

Cancellation Fees: If cancellation is made less than 1 week before the event, or in case of no-show on the day of the event, cancellation fees will apply. We charge a minimum of 70% of the total cost based on the initially communicated number of participants. This measure is to compensate for the closure of our center exclusively for your event, as well as the operational and logistical costs incurred. For large groups of 60 people or more, we require that any cancellation be made at least 2 weeks before the event date. This additional period is necessary due to the increased complexity of logistics and planning.
